To ensure proper handover and occupancy of the QNL building from Capital Projects (CPD) and Facilities Maintenance (FM) and to ensure the overall development, planning and implementation of QNL facilities management support strategies, operational policies, processes, logistics and systems.
KEY RESULT AREAS
- Ensure proper building handover from CPD, including implementation of building checks and tests, final project documentation and the reporting of any issues to CPD I FM
- Manage move-in, including logistics and coordination of books, materials and staff per plans
- Plan for future facilities (5 new branches) in line with strategic business objectives
- Develop and manage the annual budget for QNL facilities to ensure continuous operations
- Manage logistical requirements for books and library items, receiving, shipping, storage and warehouse, etc...
- Develop & implement operational plans to ensure continuous daily operations
- Develop & supervise maintenance plans for facilities, equipment, utilities and infrastructure
- Work with all QNL departments for collections management and ensure that collections are housed under appropriate environmental conditions
- Create plans to meet the logistical needs and requirements of collections
- Develop and implement internal SLAB and third-party contracts for facilities and maintenance
- Provide technical advice to consultants / contractors for operation of building services & systems
- Develop QNL FM policies, procedures and guidelines as required
- Manage the relationships with QF FM, HSSE and support services
- Ensure compliance with QF policies and procedures
- Supervise the QNL security team and develop security procedures and plans
- Manage changes to ensure minimum disruption to core activities
- Direct & plan essential central services such as reception, security, maintenance, mail, cleaning, catering, waste disposal; etc..,
- Manage space planning
- Review staff / contractors' work to ensure satisfactory completion; follow up on any deficiencies Respond to emergencies / urgent issues
- Maintain up-to-date QNL facilities plans and documentation
- Prepare quarterly reports for use in management decision-making such as building updates, maintenance progress, equipment updates, maintenance contracts and SLA updates
- Other tasks as assigned
