- Handle Day to day operationsCustomer relationships, and maintain good relations
- Ensure availability of mission capable assets through in-house maintenance department.
- Enforce roles and responsibilities within team-members on specific job function that is to be performed.
- Efficient and proper allocation of staff at all times.
- Identifying staff training needs and process adherence training.
- Departmental budgeting adherence.
- Conduct performance appraisal for line Supervisors.
- Departmental orientation on productivity (output), identify gaps and provide rectification steps.
- Responsible to ensure smooth information flow inter-departmental wise.
Principal Accountabilities
- Ensures the client requirements are met in keeping with the contractual obligations.
- Motivates guides and counsels the sectional heads to ensure set targets are met, specific project plans are implemented and administrative issues are concluded.
- Reviews regular reports provided by sectional heads, verifies data randomly and compiles as per summary requirement of Line Manager.
- Ensures Management Directives are complied within reasonable time frames.
- Reviews asset management and resource utilization and periodically effects measures for cost effectiveness.
- Escalates technological applications requirements and constraints to the Management.
- Oversees surge containment and implementation of new processes.
Specific Responsibilities
- Evaluates the performance of administrative support and sectional heads.
- Keeps abreast of productivity enhancement measures elsewhere for effecting best practices.
- Supports the Sectional Heads in administrative and intradepartmental issues.
- Reviews the Interdepartmental, Inter Sectional and Client SLA’s periodically. Recommends review of contracts and SLA’s where service levels exceed or cannot cope with requirements.
- Responsible to provide key inputs to the CEO for corporate strategy planning.
- Ensure achievement of Compamy’s business plans by forming new partnerships with customers/ competitors and identifying new business opportunities in new markets, new products and new geographies.
- Provide managerial direction to supervisors to ensure smooth operations in the Division in a timely manner.
- Develop and implement administrative procedures and operating quality control checks to monitor transport and logistics activities and associated costs according to plan
- Prepare annual operating budgets for the business in consultation with the Ports Divisional head which is consistent with the overall marketing and strategy guidelines
- Adhere to cost parameters and make sure that all expenses incurred are according to budget
- Prepare costing guidelines for all External Logistics offerings for various customers
- Interact with customers continuously and ensure timely replies to RFP’s/RFQ’s
- Effectively delegate work to the supervisors and make sure that operational activities are adequately communicated to concerned people on a continuous basis
- Coordinate with the customs supervisor to ensure that necessary actions to insure business activities (like custom verifications and stamps) are properly and effectively integrated
- Coordinate with all relevant business units of the company to maintain the proper flow of information for planning
- Interact with the maintenance department to ensure appropriate communication links are maintained
- Identify and implement changes necessary to improve profitability and reduce costs within appropriate corporate financial guidelines
- Control the order cycle and associated IT systems, analyze data to monitor performance and plan improvements
- Assist the Division Head with any inputs that he may need for short term and long term planning
- Prepare reports on prospective targets and ensure transfer of information to the Divisional Head
- Resolve customer problems and complaints such as scheduling problems, service failures, special requests etc.
- Coordinate with QHSE department to ensure the implementation of standards and guidelines
- Responsible for staff development activities comprising of supporting recruitment, team development and complaint resolution, set KPI’s for direct reports and conduct performance appraisal and also drive motivation levels of direct reports
- Responsible for compliance of applicable legal, statutory, contractual or other applicable requirements
- Responsible for identifying the Hazards and maintaining the Hazard and Risk analysis records
- Accountable for any unsafe acts and conditions
- Authorized to approve Quality, Health and Safety related records.
- Responsible to present data with respect to the Objectives, targets or Key performance indicators
